GovPrint Cloud Prior Information Notice Short Description of the Contract The Government Property Agency (GPA), an executive agency of the Cabinet Office, is responsible for making great places for Civil Servants to work. Part of the GPA's objectives is to deploy interoperable office technology across the Civil Service office estate. One of these technologies is GovPrint, a cloud based follow me print and scan service enabling Civil Servants to easily print in any building GovPrint is deployed in. GovPrint is a critical part of the GPA's interoperable technology suite of products, along with GovWifi, GovPass, Audio Visual, and Shared Networks. To enable GovPrint to scale across the Civil Servant office estate, the GPA are intending to procure GovPrint in two parts: Devices and Associated Services - Procured via upcoming Crown Commercial Service (CCS) Framework RM6174 GovPrint Specific Lot (see PIN 2023/S 000-033968) Cloud Software as a Service (SaaS) - Procured via GPA that this Prior Information Notice (PIN) is providing notification for. The GovPrint Cloud service will be procured via a two stage Restricted Procedure Competition. The contract is for an initial term of 3 years and five extension options of 1 year each (3+1+1+1+1+1), for a maximum contract length of 8 years and a maximum contract value of £9.75m. Industry Engagement The GPA will be holding a market engagement session on 21 May 2024 at 13:00 PM to provide a history of GovPrint, an overview of the GovPrint Cloud requirements, and details regarding the procurement. Procurement Timeline An indicative timeline of the GovPrint Cloud Procurement is below: PIN Publication 8th May 2024 Market Engagement Webinar - 21st May 2024 Selection Questionnaire Published - 17th June 2024 Selection Questionnaire Responses Due - 16th July 2024 Responses evaluation and successful Suppliers Invited to Tender (ITT) - 29th July 2024 ITT responses Due - 2nd September 2024 Preferred Supplier selected and Standstill Begins - September 2024 Contract Award - October 2024 Caveat In issuing this PIN and engaging with the market, the GPA is not committing to conduct any procurement in relation to the strategy stated in this PIN. Equally non-participation in this Market Engagement will not be taken into account in any future procurement activities and will not preclude any organisation from submitting a tender in any future competitions.
