Prior Information Notice- Valuation Office Agency HEPA Air Purifier Requirement

This Prior Information Notice is being utilised as an opportunity for the Valuation Office Agency (VOA) to alert the market to an upcoming requirement to purchase or lease HEPA Air Purification machines that can be utilised in office spaces across our Estate to increase ventilation. The VOA would also like to take this opportunity to ask the market some short questions (below) to help refine our final requirement. Lot 1: Technical Requirements: The VOA requires Air Purification machines for use in both open office spaces and meeting rooms. The technical requirements for these machines are listed below: Type of Filter: HEPA filters with ability to capture microbes including harmful bacteria, dust, pollen, and other harmful airborne particulates down to 0.3 μm. Filters must be H13 grade or higher certified by Internationally recognized bodies/certifications such as EN 1822 (European) or equivalent. Must be portable and plug and play type Must have multiple run speeds & be suitable for use in quiet office spaces Machines for use in open office spaces must be fitted with Ozone free Germicidal Ultraviolet lamps using ultraviolet light in the UV-C wavelength range (200nm to 280nm) to inactivate micro-organisms as well as HEPA filters. Machines for use in meeting rooms will not require UV technology but must have HEPA filters. Volumes and Locations: The VOA is seeking Air Purification machines for use in 52 meeting rooms (ranging in size from 16m2 to 62m2) across our Estate. The VOA is also seeking Air Purification machines for use in open office space, with an approximate total area of 16,000m2 across 25 locations of varying size. The VOA has Estate across the UK and machines will need to be delivered to these addresses. To help us design our final requirement, please answer the following questions: 1. Can you fulfil this requirement? 2. Please indicate whether your machines are available to lease or purchase and outline any support (servicing, warranties etc.) associated with the package. 3. Outline any maintenance requirements associated with your machines. 4. Please provide an indicative price for any models that would meet the necessary technical requirements, both for lease and purchasing. 5. Can you provide any suggestions as to alternatives to achieve the same objectives? 6. Please explain how you calculate the coverage (m2) of your machines Please submit your responses to these questions to tenders@voa.gov.uk by 14/01/2022.
